Repair order: what you need to know

The repair order is a written document proving the commitment of a professional (i.e car dealership or workshop) to his/her client who has entrusted him/her with a vehicle. It lists the parts to be replaced and the work to be carried out. This work request has to be completed by the professional. It is normally up to the entity that received the car, to fill in this printed document, which will then be sent to one or more technicians, repairers and mechanics.

It is essential to fill in the repair order in the presence of the client, who is given a duplicate copy, which will serve as an irrefutable proof in case of a dispute.

How to properly fill in the transfer order?

Mandatory information (as soon as the vehicle is delivered)

– date of taking over of the vehicle, day and time of scheduled pickup

– brand, model and car registration

– company name, contact details of the professional (address, telephone, email or post office box)

– client’s name and address

– car mileage

– work that the client wishes to be carried out

– quality of the used oil : mineral, synthetic or semi-synthetic



– request for car inspection based on the different reasons or manifestation of the vehicle breakdown





The RO allows to lay out clearly to both parties the type of services and the scope of the work to be carried out. Like for invoices, the repair order must include references that clearly identify the professional. The header displays the company’s logo and Siret number. And at the bottom of the page, the organization’s stamp or seal, the manager’s signature and that of his/her client.

Work request : is price display mandatory?

The price display is mandatory for any sales or repair professional and must be noticeable on certain documents in clients allowed areas. However, the repair order, which can be printed on plain paper, is not affected by this obligation. The labor cost is split into three categories of work difficulties (depending on the degree of required skill and the level of necessary tools): T3, T2 and T1.

This price information is nevertheless mandatory within specialized centers which practice flat rates: each intervention corresponds to one of the pre-established bundles. In this case, this document will be used as a quotation once the vehicle has been taken over.

Why ask for an RO?

The main advantage for a sales or car repair professional’s customer is to benefit from repairs in compliance with the manufacturer’s standards. Especially since the proper drafting of an RO is useful for not spending an excessive amount of money for the purchase of parts or the completion of work. Finally, the repair order drafting ensures the availability of a replacement vehicle or, failing to provide that, the refund of rental costs.

For the professional, the RO is an invoice proof of payment and possibly of eligibility for professional damage insurance cover.

Legal framework of the RO

Before the law, the drafting and sending of the RO constitutes a tangible legal ground in the event of poor workmanship. It is an immutable guarantee for the dealer or the mechanic’s obligation of result towards his/her customer. This written commitment clearly means that the professional engages his liability to deliver to the client a vehicle that has been impeccably repaired and is working perfectly . The RO clearly stipulates the framework of this service in time and space.

In the absence of good and satisfactory results, the customer may bring the case before the courts by charging the car dealership or the workshop manager for professional misconduct.
